Gym overview in cronowiz Studio: active members, today's classes, subscriptions and medical certificates to follow up, with phone numbers alongside

A pilates studio has different problems from a weights floor. Classes are small, often limited by the number of reformers or mats; every place counts and an empty spot cannot be sold later. Many clients buy time-based packages, and some only take private sessions.

In Studio every class has a room, a teacher and a capacity. Sessions repeat each week. When they are full, the next person goes on the waiting list and can be promoted when a place frees up. No-shows are recorded and appear in the report. Private sessions and free trials are one-off appointments in the same schedule, with a warning if the room or teacher is already booked.

Plans have a duration in days or months, a price and an enrolment fee; you can suspend a membership, which moves its end date, when a client is pregnant or travelling. The program works offline, with no per-member fee.

A typical week

On Monday you open the overview: who has an expired package, who expires this week, with phone numbers. You look at the week’s schedule and see which classes are full and which have space.

During the week clients message to book or cancel. You update the schedule; when a place opens in a full class, you promote the first person on the waiting list. After each session you mark no-shows. Private sessions go into the gaps, and the program stops you if the room is already taken.

At the end of the month the report tells you how many active clients you have, how many are new, how many were lost, and the renewal rate. The at-risk list shows who is coming less than before.

Who it is not for

Many yoga and pilates studios now sell classes online, with booking and payment in an app. Studio does not: clients cannot book themselves, there is no card payment, no automatic reminders and no streamed classes. If that is your model, you need an online service.

Studio also does not count down class passes, such as a 10-class card: plans run for a number of days or months. You can model a class pack as a time-based plan, but the count of classes used has to be kept separately.

What goes wrong without it

In a small studio the waiting list usually lives in the teacher’s head or in a group chat. When someone cancels at the last minute, the person who asked for a place is remembered only once class has started, and the reformer stays empty.

Suspensions are the other weak spot: a client who pauses for a month is owed that month, and working it out by hand across dozens of packages is the quickest way to get it wrong. In Studio a suspension moves the end date on its own.

The questions people usually ask

Can I manage reformer places?

Yes, by setting the class capacity to the number of machines. Beyond that, bookings go on the waiting list.

Does it handle class packs?

No. Plans have a duration in days or months. A pack can be set up as a time-based plan, but Studio does not count down classes used.

Can clients book online?

No. There is no app or booking site; the studio enters bookings.

Does it work for a studio with a single teacher?

Yes. It works with one room and one teacher, and the price does not change with size.

Does it run on a Mac?

No, only on Windows 10/11 and 64-bit Linux.

Can I manage several teachers and rooms?

Yes. Each class has its own room and teacher, and Studio warns you if a room or teacher is already booked.
