Members rarely leave all at once. First they skip a few classes, then they come once a week instead of three times, then the membership expires and they do not come back. Each step leaves a trace in the data, but in a gym with a few hundred members nobody has time to look at them one by one.
Studio watches for the signals instead. It compares class attendance with the previous period, counts workouts for members linked to an athlete profile, flags anyone not seen for at least 14 days and anyone about to expire without renewing. The result is a list with the reasons alongside, which the front desk can use for a phone call.
The monthly report shows the rest of the picture: active, new and lost members – lost meaning more than 30 days without renewal – and the renewal rate. The program costs €199 once, works offline and keeps this data on the gym’s computer.
-
Fewer classes
members attending fewer sessions than before.
-
Fewer workouts
for members linked to an athlete, a drop in logged workouts.
-
Inactive for 14 days
anyone not seen for two weeks or more.
-
Expiring without renewal
members about to expire who have not renewed yet.
How to use the list
Once a week, open the at-risk list. For each member you see the reason: fewer classes, fewer workouts, inactivity, expiry coming up. The phone number is on the record.
The call does not have to be a sales call. Often it is enough to ask how things are going, whether the class time still suits them, whether they have been injured. Sometimes the answer leads to a suspension instead of a cancellation: in Studio a suspension moves the membership’s end date, and the member stays.
At the end of the month the report tells you whether it is working: how many members were lost compared with the previous month, and which way the renewal rate is moving.
What goes wrong without it
Without a list you notice churn when the membership expired weeks ago. By then the member has got used to not coming, and winning them back is much harder than keeping them.
The limits, honestly: the list is only as good as what you record. If class attendance is not marked, or members are not linked to their workouts, the signals are weaker. And Studio does not send messages or automated campaigns: a person makes the contact.
Why these signals
Fewer classes and fewer workouts are the first sign: the habit loosens before the member decides anything. Fourteen days of inactivity is roughly where a break stops being a break. Expiry without renewal is the last chance to talk before the member becomes a lost one.
Studio looks at the signals it has: class attendance, expiry dates, and workouts for members linked to an athlete. It cannot know whether someone is on holiday or has changed shifts at work, which is why the list is a list of people to check in with, not a verdict.

The questions people usually ask
What criteria does Studio use to flag a member as at risk?
Fewer classes attended, fewer workouts logged, inactive for 14 days or more, and membership expiring without renewal.
What does Studio count as a lost member?
A member whose membership lapsed more than 30 days ago without renewal.
Does it send automatic messages to at-risk members?
No. Studio does not send email or SMS: the list is for your staff.
Where do the workouts come from?
From backups of the free cronowiz app or from .fit files, imported and linked to the member.
Does it need the internet to build the list?
No. All the calculation happens on the gym’s computer.
Does it work without linking workouts?
Yes. Class attendance, inactivity and expiry without renewal work from the gym’s own data alone. Linking workouts adds one more signal.
