Tracking members’ health certificates and medical clearance

In cronowiz Studio each member’s medical certificate is recorded on their record, competitive or non-competitive, with its expiry date. The expiry sits next to the membership status, so whoever is at the desk sees it when they open the record.

Gym overview in cronowiz Studio: active members, today's classes, subscriptions and medical certificates to follow up, with phone numbers alongside

In some countries and sports, a gym or club must hold a medical certificate or doctor’s clearance for each member; elsewhere it is the gym’s own policy, for example for older members or after an injury. Either way, it is the kind of thing everyone knows should be checked and nobody checks regularly. Copies end up in a binder, expiry dates on a list someone updates now and then.

In Studio the certificate is part of the member record: type (competitive or non-competitive, the distinction used in Italian sports medicine) and expiry date. You enter it at sign-up and update it when the member brings a new one. It is in the same place as the membership, notes and history, so the check happens while you are doing everything else.

Which certificates are needed, and for which activities, is set by the law where you operate, your governing body or insurer, and your own rules: Studio records, it does not decide. Health information is sensitive data, and here it stays in a file on the gym’s computer rather than on an outside server. The program costs €199 once.

  • Type and expiry

competitive or non-competitive, recorded together with the expiry date.

  • On the member record

next to the membership, notes and history, where staff already look.

  • Health data kept in-house

nothing is sent to outside servers: the database is a file on your computer.

  • No per-member cost

    unlimited members, €199 once.

How to use it

At sign-up you enter personal details, then the certificate: type and expiry date. If the member has not brought it yet, you note it and complete it later.

When the member renews, you open their record and check the certificate too. If it has expired or is about to, you tell them there and then, at the desk. When the new one arrives you update the date.

The paper copy or scan stays wherever you keep it today: Studio records the certificate’s details, it does not store documents.

What it does not do

Studio does not send reminders to members, by email or text, and does not receive certificates from doctors. It does not tell you which certificate is required for which activity: that depends on your situation and should be checked with your governing body or adviser.

If you need a portal where members upload their own clearance, look for an online service. If you just need the expiry recorded and visible on the record, without putting health data in the cloud, Studio does that.

What goes wrong without it

A binder of certificates has two flaws: it says nothing until you open it, and nobody opens it to check expiry dates. So a certificate that lapsed in March is noticed in September, perhaps when a member gets hurt or an inspection comes round.

Having the expiry on the record does not remove the work, but it moves it to the right moment: when the member is in front of you renewing their membership, which is also when asking for a new certificate is least awkward for both of you.

The questions people usually ask

Can I tell competitive and non-competitive certificates apart?

Yes. The type is a field of the certificate, together with its expiry date.

Does Studio warn members when their certificate expires?

No. It does not send emails or texts. The expiry is shown on the member record.

Can I attach a scan of the certificate?

No. Studio records type and expiry; it does not store files or documents.

Where does this health data go?

Into a database file on the gym’s computer. It is not sent to any server; the program works offline.

Will Studio tell me which certificate is required?

No. That depends on local law, your governing body or insurer, and your gym’s rules. Studio only records it.

Does the competitive / non-competitive split work outside Italy?

It is the distinction used in Italian sports medicine. Studio’s interface is in 14 languages, but the certificate field follows this scheme: elsewhere, use whichever type is closest to your own rule.
